What to include on a mechanic invoice

  • Your shop name and contact
  • Customer and vehicle details
  • Parts and labor with amounts
  • Diagnostic or shop fees
  • Tax, total and payment terms

Invoicing as an independent or mobile mechanic

Independents compete on transparency: most bill actual hours at a rate below shop retail, and mobile mechanics add a call-out that covers travel. The two policies you must settle — and print on the invoice — are customer-supplied parts (fine for many independents, but labor-only warranty) and payment timing (on completion, before the keys go back). Because you don’t have a shop’s paper trail, your invoice is the paper trail: vehicle details, what was found, what was done, and what the customer declined.

Typical independent/mobile rates (US)

Your market sets the number — these are common bands:

  • Hourly labor: $60–$120 (vs $100–$180 shop retail)
  • Mobile call-out: $30–$75 plus mileage beyond a base radius
  • Pre-purchase inspection (flat): $75–$200 with a written report
  • Brake pads (customer supplies parts): $80–$150 labor per axle
  • Diagnostic scan + report: $50–$120
  • Waiting/no-access time on mobile jobs: billed at your hourly rate — say so up front

Cover yourself with the paperwork

  • Record VIN and mileage on every invoice, same as a shop would
  • Note “customer-supplied part — labor warranty only” on the relevant line
  • Write down declined recommendations (“advised rear rotors <2mm — declined”) — it protects you later
  • Photograph pre-existing damage near your work area before starting mobile jobs
  • Take payment on completion; for jobs over a few hundred dollars, get a parts deposit first

FAQ

What should a mechanic invoice include?
Should I install parts the customer bought?
Many independents do — it wins jobs shops turn away. Protect yourself: warranty your labor only, note the part’s source on the invoice, and charge full labor even if the part fails out of the box (the redo is a new job). If a part looks unsafe or wrong, decline in writing.
What should a mobile mechanic charge for travel?
A flat call-out ($30–$75) covering a base radius, plus per-mile beyond it, is the cleanest structure. Build it into the invoice as its own line rather than padding the hourly rate — transparent travel fees read as fair; inflated hours read as dishonest.
