What to include on a simple invoice

  • Your name/business and contact
  • The client’s details
  • What you’re charging for, with amounts
  • Tax if applicable and the total
  • How to pay

Simple means complete, minus the clutter

A simple invoice is not a casual one — it still has to be a valid, payable bill. The irreducible core is nine items: the word “Invoice”, a unique number, your name/business and contact, the client’s name, an issue date, a due date, at least one line describing what was sold with an amount, any tax, and how to pay. What simple invoices drop is the rest: PO boxes and PO numbers, multi-page terms, department codes, promotional footers. For a freelancer billing a client who already knows them, one page with nine fields collects exactly as well as an enterprise invoice — often better, because there’s nothing to misread.

Keep it simple without making it amateur

  • Still number every invoice sequentially — “simple” without numbering is untrackable
  • Still show a due date (“Due on receipt” counts) — an invoice without one is a suggestion
  • One clear payment method beats four half-explained ones
  • A logo and one accent color is all the design a simple invoice needs
  • Resist adding fields you don’t use: empty “Ship to” and “Terms” boxes are noise, not professionalism

When simple is the wrong choice

Trade up from the minimal format when the payer’s process demands more: corporate clients matching against POs, jobs needing progress billing or retainage, insurance or legal work requiring line-level codes, or tax situations with multiple rates. The test is the payer: bill people the simplest thing they can approve.

FAQ

What should a simple invoice include?
A free, no-frills invoice with only the fields you need — fill it in and download a clean PDF.
What is the minimum an invoice must include?
The word “Invoice”, a unique number, seller and buyer identification, issue date, description of goods/services with amounts, any tax, the total, and payment terms. Tax-registered businesses must add their tax ID and the tax breakdown. Everything beyond that is optional formatting.
Is a simple invoice legally valid?
Yes — validity comes from content, not complexity. If it identifies the parties, what was sold, the amount, and the tax where applicable, a one-page minimal invoice is as enforceable as any enterprise document. Jurisdictions with VAT/GST add specific required fields; include them and stay minimal everywhere else.
